Selling paid game seats

Paid game seats let GMs charge players for a single session or a multi-session campaign arc, with capacity-locking so you can’t oversell and automatic refunds if you need to cancel.

  • A Collector subscription on the Outpost owner’s side, Stripe Connect set up, and monetisation enabled on the Outpost.
  • You must be the owner or a GM of the room you’re selling seats in.
  • The room has a Seat capacity set (in the room’s edit panel) — otherwise buyers can’t be capped.
  1. Open your room → Edit (cog icon, or three-dot menu on the room card).
  2. Set Seat capacity to the maximum number of players you want.
  3. Save.

Capacity is enforced at checkout — players can’t buy beyond it. Leaving it blank means “uncapped” (any number of buyers).

  1. Open Outpost → Shop → New product.
  2. Pick Type → Game seat (single session) for one-off sessions, or Campaign arc (multi-session) for a bundle.
  3. Pick the Room from the dropdown. If you don’t have one yet, click + Create new room — the full room creation flow opens in-place and the new room is selected once you save.
  4. Fill in the name, price, currency.
  5. For Game seat: set the Session date + time and optional Duration. Both are optional — leave blank for “Date TBC”.
  6. Click Create draft, then Publish on the next page.

After creating a campaign-arc draft, the edit page shows a Sessions panel. Click + Add session for each session in the arc; set optional titles, dates, and durations. The publish gate requires at least one session. Buyers see the full schedule on the product page before they buy (“Session 3 of 6 · Tue 7pm”).

  • Each game-seat / campaign-arc product card shows the seat-fill pill: 3 of 6 seats filled, tinting amber as it nears full and red when sold out.
  • The product detail page shows the same plus the full session schedule (campaign arcs) or single date + duration (game seats).
  • Buying adds the player to the room’s member list automatically — they can join the VTT immediately.

If you need to cancel before the session runs:

  1. Open your room → Sessions tab.
  2. Click Cancel & refund (GM-only; only shows when there are paid players to refund).
  3. Confirm and optionally add a short note that goes out to your players in the cancellation notification.
  4. PostRoll refunds every paid player via Stripe (including the platform fee — they’re made whole) and removes them from the room.

The 14-day money-back guarantee from PostRoll’s platform subscription does not apply here — these are creator-to-creator transactions; refunds are at GM discretion + Stripe’s processing window (usually 5-10 business days for the credit to appear on a buyer’s card).

For a single player no-show or a one-off refund, use the Stripe dashboard linked from your Outpost’s monetisation panel. PostRoll picks up the refund automatically and removes that one player from the room without affecting others.

For ongoing campaigns where players pay every month (e.g. “$15/mo Tuesday campaign”), use the Session pass kind:

  1. New product → Type → Session pass (recurring).
  2. Pick the room you GM, set the price + currency. Subscriptions bill monthly by default.
  3. Publish.

Subscribers stay seated as long as their subscription is active. Cancellation is self-service through their billing portal — they keep their seat until the end of the period they’ve already paid for, then they’re removed from the room automatically.

If a player’s card fails on renewal, Stripe retries the charge for about two weeks. They keep their seat during retries; if every attempt fails, the subscription cancels automatically and they’re removed from the room.

Same 10% (with $0.30 floor) application fee as other one-time products. Refunds reverse the fee so cancellations don’t cost you.
