Collaborators & seats

Direct invites give named people access to something you own — no link to pass around, and you can change or remove their access anytime.

  1. Click Share on the item. The dialog opens on the Invite tab.

  2. Under Share by username, type their username and click Search, then click Add next to each person.

  3. For each selected person, pick Read only or Read & Edit.

  4. Click Invite. They get a notification and the item appears in their Shared with you page immediately — there’s nothing for them to accept.

The Access tab of the share dialog lists everyone with access: you (with an Owner badge), plus each collaborator with a role dropdown. Change a role there, or click the remove button to take access away — you’ll be asked to confirm.

For boards and scenes inside a shared world, the Access tab also shows people whose access is inherited from the world. Manage those from the world’s own share dialog.

  • Read only collaborators can open and read the item. Edit controls are hidden and saves are blocked.
  • Read & Edit collaborators can change content — edit wiki pages, move board nodes, update sheets.
  • Nobody but the owner can share the item onward, manage access, or delete it. Editing never transfers ownership.

How many people you can grant Read & Edit access depends on your plan:

  • Starter — no editor seats (you can still share things read-only).
  • Booster — 2 editor seats across your worlds.
  • Collector — 15 editor seats.

A seat is used by each person you give edit access to — sharing three boards with the same friend uses one seat, not three. Giving someone read-only access never uses a seat. When all your seats are in use, new edit invitations are paused until you remove an editor or upgrade; the invite dialog will tell you when that happens.

Sharing edit access lets people take turns; to edit a board at the same time, with live cursors, turn on live collaboration — a Collector feature.
