Staff roles
When you’re running an Outpost with more than one contributor — a publisher with editors and designers, a community team with moderators and marketers — PostRoll ships a one-click set of staff role templates so you don’t have to hand-craft each role.
Open Staff roles
Section titled “Open Staff roles”- Open your Outpost.
- Click the Admin tab.
- In the left nav, under Team, click Staff roles.
The five templates

| Editor | Post in any channel, pin / unpin / archive content. Doesn’t change permissions or members. |
| Designer | Post in any channel, upload artwork, manage custom emoji. No moderation. |
| Marketing | Post + tag everyone in announcements, manage invite links + webhooks. No moderation. |
| Author | View + post only. Use for freelancers who shouldn’t see your staff back-channels. |
| Writer | Same as Author plus the ability to ping playtesters (@everyone). |
Templates are intentionally scoped tight. None of them include kick / ban or admin privileges. Promote a teammate to admin manually once you trust them.
Create the roles
Section titled “Create the roles”- Tick the templates you want. Templates you already have are pre-greyed and excluded.
- Click Create N roles (the count updates as you tick).
- Each role lands as a regular group role — you can rename it, recolour it, or tweak the bit flags later in Admin → Roles & permissions.
Invite straight to a role
Section titled “Invite straight to a role”Once a staff role exists, each row gets an Invite with this role button. One click generates a single-use invite link that auto-assigns the role when the new staff member redeems it.
- Open Admin → Staff roles.
- On a Created role, click Invite with this role. The link copies to your clipboard automatically and a toast confirms the expiry + use count.
- Send the link to the staff member however you’d like — Discord, email, signal.
- When they redeem, they’re added to the Outpost AND assigned the staff role in the same step.
Defaults: single-use, 7-day expiry. Anyone who opens the link after it’s been redeemed (or after it expires) gets a friendly “this link has been used / has expired” message — no chance of an extra person sneaking in.
If you need a multi-use staff link (e.g. onboarding three editors at once), use Admin → Invites for the link generator with full custom max-uses + expiry settings, and assign the role in Admin → Members afterwards. The Staff-roles button is optimised for the common one-person-per-role case.
What about non-staff invites?
Section titled “What about non-staff invites?”The Staff-roles button is the fastest path when the new member should get a specific staff role. For plain “join my Outpost” invites — no special role — use Admin → Invites instead.
Reviewing & revoking recent invites
Section titled “Reviewing & revoking recent invites”The Staff roles page shows a Recent staff invites table beneath the templates listing the last 50 staff invite links you’ve generated. Each row shows:
- The role the link auto-assigns
- Who created it
- How many times it’s been redeemed (vs the cap)
- Expiry date (or “never expires”)
A Revoke button appears on any link that’s still active. Revoking blocks future redemptions; anyone who’s already redeemed keeps their role.
